1. Overview
At PassMode (operated by R&P Fusion), we want you to be satisfied with our Service. This Refund Policy outlines when and how refunds may be provided.
2. Subscription Refunds
2.1 Within 14 Days (Cooling-Off Period)
In accordance with UK consumer rights, you have 14 days from the date of your first subscription payment to request a refund under the following conditions:
- Full refund: If you have not used any credits from your subscription
- Partial refund (at our discretion): If you have used less than 10% of your credits
- No refund: If you have used 10% or more of your credits
This is because we incur real costs when processing your content through our AI services.
2.1.1 Digital Content and Cooling-Off Rights
Under UK Consumer Contracts Regulations 2013, when you subscribe to PassMode:
- You acknowledge that PassMode provides digital content (AI-generated quizzes and flashcards) immediately upon subscription
- You expressly consent to receiving this digital content before the 14-day cooling-off period ends
- You acknowledge that using credits waives your right to a full refund, as performance of the service has begun at your request
This is why refunds within 14 days are conditional on credit usage - once you use the Service, we have fulfilled our obligation by processing your content through third-party AI services (which incurs real costs to us).
2.2 After 14 Days
After the 14-day cooling-off period:
- Subscriptions are non-refundable for the current billing period
- You may cancel at any time to prevent future charges
- You will retain access until the end of your current billing period
2.3 Exceptions
We may provide refunds or credits at our discretion in cases of:
- Significant service outages affecting your ability to use PassMode
- Technical issues that prevent the Service from functioning as described
- Billing errors or duplicate charges
2.4 Annual Plan Refunds
Annual subscriptions follow the same 14-day cooling-off policy as monthly plans. After 14 days, annual subscriptions are non-refundable for the remaining term. You may cancel to prevent automatic renewal, but will not receive a pro-rata refund for unused months.
3. Credit Top-Up Refunds
One-time credit top-up purchases have a strict refund policy:
- Full refund: Within 14 days if no credits from the top-up have been used
- No refund: If even one credit from the top-up has been used
Top-up credits are added directly to your account balance and consumed immediately when you process content. Once consumed, they cannot be recovered as we have already paid for the AI processing on your behalf.
4. Non-Refundable Items & Credit Expiry
The following items and scenarios are non-refundable:
- Used Credits: Credits that have been used to upload, process, or generate content cannot be refunded.
- Expired Credits: Unused credits from monthly subscription allowances (Standard/First Class) expire at the end of each billing cycle and are not refundable.
- Dissatisfaction with Content: While we strive for quality, we cannot refund credits used on content that does not meet your specific expectations, as the AI processing costs have already been incurred.
5. How to Request a Refund
To request a refund, please:
- Email us at support@passmode.com
- Include your account email address
- Provide the reason for your refund request
- Include any relevant transaction or order details
We aim to respond to all refund requests within 3 business days.
6. Refund Processing
Approved refunds will be:
- Processed within 5-10 business days
- Returned to the original payment method
- Subject to your bank's processing times
7. Cancellation
You can cancel your subscription at any time:
- Through your account settings (Manage Subscription)
- By contacting us at support@passmode.com
Cancellation takes effect at the end of your current billing period. You will not be charged for the next period.
8. Your Consumer Rights
This policy does not affect your statutory rights under UK consumer protection laws. If you are a consumer in the UK, you may have additional rights under the Consumer Rights Act 2015.
